PAWS Roles and Responsibilities

 

President: The president shall preside over all meetings of this organization and the Executive Board, and serve as the primary contact to the school principal. The president is one of three designated signers on all checks and drafts against PAWS funds. The president may call the Board of Directors or a general board meeting at their discretion. This definition is an outline of duties and not intended to list all possible responsibilities.

 

Vice-President: The vice-president shall assist the president in carrying out all of the presidential duties. The vice-president shall serve as president in the case of the president being absent or unable to serve. The Vice-president shall fulfill all functions delegated to them by the president and/or the Board of Directors.

 

Secretary: The secretary shall keep all records deemed necessary by the Board, record minutes, prepare meeting agendas, and send notices of meetings to general members. Records will be kept within a binder stored within the PAWS office and on a Google Doc account. The secretary is responsible for keeping permanent records of bylaws, standing rules, meeting minutes, and membership lists. The secretary is also responsible for bringing any necessary supplies to meetings. This definition is an outline of duties and not intended to list all possible responsibilities.   • Upload meeting minutes to G-drive (woodburn.paws@gmail.com), PAWS website (www.woodburnpaws.org); send minutes within 2 weeks of meeting to all board members
  • Include printed email motions in binder and scan to G-drive & website/amend meeting minutes
  • File corporation renewal with Secretary of State online

 

Chairperson-Communications: The Communications Chairperson is responsible for helping to proactively facilitate channels of communication between school staff, teachers, parents, and board members. They will assist the secretary in notifying the General Members of Regular and Special Meetings. Communications will maintain PAWS social media outlets. This chairperson shall fulfill all functions delegated to them by the president and/or the Board of Directors.

 

Chairperson-Events Coordinator: The Events Chairperson oversees and works with Leads on PAWS events and activities. As such they will work closely with the Volunteers Chairperson and the Fundraising Chairperson. This definition is an outline of duties and not intended to list all possible responsibilities. This chairperson shall fulfill all functions delegated to them by the president and/or the Board of Directors.

  • Responsible for submitting CSD Rental Use Agreement for all events

 

Chairperson-Volunteer Coordinator: The Volunteers Coordinator is responsible for leading PAWS efforts to staff all PAWS sponsored activities, as well as work closely to assist the Events Committee Chairperson in staffing all PAWS events. This definition is an outline of duties and not intended to list all possible responsibilities. This chairperson shall fulfill all functions delegated to them by the president and/or the Board of Directors.

 

Additional Notes:

  • Reaching out with initial communication to all potential volunteers with a welcome letter, background check form and event info
  • Managing & updating our volunteer database
  • Work with communications to reach out to the school and community populations with campaigns, fliers, advertisements for volunteer procurement
  • Working with the events coordinator to staff all events
  • Researching new ways of managing sign-ups
  • Be present at some or all PAWS events to recruit and educate potential volunteers

 

Treasurer: The treasurer is responsible for receiving funds for the organization, keeping accurate receipts of expenditures, and paying out funds in accordance and with approval of the Executive Board. They are responsible for presenting a financial statement at every meeting or at the request of the Executive Board and must make a full report at the end of the year. They shall monitor all PAWS deposits and accounts. This definition is an outline of duties and not intended to list all possible responsibilities. The treasurer shall fulfill all functions delegated to them by the president and/or the Board of Directors.

 

Chairperson-Fundraising Coordinator: The Fundraising Coordinator is required to manage the efforts of all PAWS fundraising. This includes but is not limited to passive fundraising, active pursuit of donations, contributing to events creation, participating in budget creation and management. This chairperson shall fulfill all functions delegated to them by the president and/or the Board of Directors.
